You may encounter times where you are unable to start a workflow. You may see that the workflow is grated out/locked, or you may receive an error message that another workflow is in progress.
Workflow is locked
If the name of a workflow is grayed out with a padlock icon, this means the workflow is locked. A workflow will be locked when there are other workflows or actions that need to be completed prior to running the workflow. This could be happening for many reasons, for example:
- Your lawyer has not been registered yet, and this workflow is only unlocked after you have registered legal counsel.
- You have not completed incorporation, and this workflow is only unlocked after you have completed your incorporation workflow.
- You have not completed post-incorporation, and this workflow is only unlocked after you have completed your post-incorporation workflow.
- The workflow is only meant to be run once, such as Approve Electronic Stock Certificates workflow.
- There are missing conditions that must be met before the workflow can be run, such as the Create New Stock Certificates workflow will be locked unless there are deferred stock certificates.
Hover over the padlock icon to see an explanation as to why this particular workflow is locked, and what action needs to be taken.
Another Workflow is in Progress
Another type of lock you'll find on the platform is a message after starting a workflow that declares you may not continue since another instance of the workflow is in-flight.
This typically happens if a coworker is running the same workflow, running a workflow where there is connected information (e.g. running the Grant Shares workflow when there is an open Terminate Employee workflow for the same stockholder), or the workflow was started previously and left in an unfinished state. This type of lock exists so that effort is not inadvertently doubled (e.g., shares aren't granted so the same employee in the same amounts twice, shares aren't repurchased twice, and so forth).
Resolving duplicate workflows
In the event that your workflow or workflows are locked, you should first verify with your other collaborators to make sure that you aren't crossing over in your actions. For instance, you can communicate with your team to make sure that someone else hasn't attempted to run the Terminate Employee workflow at the same time as you. If someone is trying to run the workflow at the same time, you can either discard your workflow and allow them to finish, or you can have them transfer the workflow to you.
If you are the owner of both duplicate workflows, find the duplicate in the Workflow Explorer and discard the workflow.
