Introduction
This article covers running the Investor Update workflow and viewing the Investor Updates Report. Additionally, you can track outgoing investor updates via the Investor Updates Report which lists details for each sent update.
Running the workflow
Let's Get Started
The workflow is found in the Governance section of the Start New Workflow page.
Provide Documents
Upload or select from the Data Room any documents that you'd like to send as part of the update. Note that you must provide one document to continue.
Select Stock Classes
Enter the title of the update. This title is used in the Investor Updates Report and will be the name of the folder created in the Data Room.
Select the investors by stock class that should receive this update. You can check Select to check all stock classes.
Select Investors for Update
Select which specific investors should receive the update. The workflow will provide a list of all investors who are part of the stock classes you selected in the previous step. Check the box by each investor to indicate whether they should receive the update. You can search for specific investors, and can also check to select all investors.
Checkpoint
At the checkpoint, you'll have the option to send the investor update for legal review, review the documents you've uploaded, and customize the email associated with the update. When ready, click Continue.
Release Investor Update
Select either to release the update to the investors immediately or schedule the release for a later date and time. You can also review and edit the email that is sent out before continuing.
If you select to release the update immediately, the workflow will finish after you click Continue.
Wait for Release
If you selected a future date and time to release the update, you will see this step. If necessary, you can click Back to make changes to the update, or you can Discard the update entirely.
Recipient Email
The recipient will receive an email similar to the example below. Clicking on the name of the update will prompt the recipient to sign in to their existing account, or to create a new account.
Investor Updates Report
Previously sent updates can be found in the Investor Updates Report. This report is found in the Board & Stockholder module on the Company Workspace, or you can click on Company in the left-hand menu, and then click Investor Updates in the Governance section.
The report will show all details for all sent updates including the name of the update, date sent, recipients, and number of views.
Clicking on the name of the report will open a detailed view for that specific update, including links to the Data Room of the documents uploaded, a preview of the email sent, and the list of recipients. The recipients list will indicate if they have viewed the report. If a recipient has not yet viewed the report, you can click the three-bar menu for the recipient and select Remind to send them an email reminder.
