Navigating Fidelity Private Shares

Introduction

Here are some helpful navigation tips as you learn how to get around in Fidelity Private Shares. In this article, we'll touch on:

Fidelity Private Shares Workspaces

The platform has several Workspaces to help keep everything organized and more easily accessible. 

  • If you have more than one company or more than one role in a given company, you may have several workspaces from which to choose.
  • You will see all available Workspaces in the dropdown that appears when you click on your Company dropdown menu (to switch between companies) and Workspace dropdown menu (to switch between roles at a company).
  • By clicking on your profile picture/initials on the top right corner, you will be able to log out, or manage your profile settings to change your address, see employment information, and more.

  • Each Workspace serves as the jumping-off point for navigating within the platform. You can navigate to documents, see a list of active workflows, and view reports to which you have access.

  • To return to the company workspace at any time, click the Fidelity logo in the upper left corner of the screen.

The Workspaces can be divided into three main sections: 

The left side-panel

This panel has quick links to different parts of the platform (Workspaces, Workflows, Equity, Data Room, Human Resources, Company, and My Workspace), a direct link to the Administration workspace (if that permission has been granted to you), and the Help menu. Clicking on an icon will expand the panel with a list of available links and actions. 

Workspace Modules 

The workspace has several modules, which are the boxes that have links or display other information based on the company or type of workspace you are viewing. For example, the Company Workspace will typically show the Equity & Financing, Human Resources, Directory, Data Room, Company Profile, and Board & Stockholder modules. 

Changing to My Workspace will show a similar layout but with links to your equity, my documents, the employee directory, or other areas of the company to which you have been granted access. 

Workflows and Tasks 

The right side of the Workspace has links to manage your tasks and workflows. Clicking Start New Workflow will bring you to the page of all available workflows that you can run. Any workflows with pending tasks awaiting your action will display in My Tasks.  Workflows that you have started will display here in their current status.  

Change companies and roles

  • Some users have multiple companies and/or multiple roles within a given company.
  • To change to a different company, click on the company name on the top menu bar and select from the list of available companies. The Workspace will change to reflect the workflows and modules related to that company.
  • To change the Workspace within a company, click on the current Workspace on the top and select from the list of available workspaces. The workspace will change depending on whether you are acting on your own behalf, on behalf of the company, or as an administrator of your company's account.

Access documents

  • Employee documents, such as onboarding paperwork and company policies, are accessed in My Documents in My Workspace.
  • Company documents, which are generated in or uploaded through a workflow, are stored in the Data Room on the Company Workspace.

Know what to do next

  • Clicking on the number in the top right corner next to your name will open all of your messages and reminders about outstanding tasks. 


  • Any pending tasks will display in the My Tasks panel. For greater details, you can use the Workflows list. From there you can click on the name of a task, the information button, or click Explore to view the list of stakeholders involved in a workflow, related documents and emails, and more.

Email Notifications

  • Emails generated in the platform generally contain a link that you can follow to the workflow item requiring your attention.
  • Items awaiting your attention are also indicated by notifications in the upper right-hand corner of the Workspace and can also be found in the My Tasks panel.
